Rental warehouses: what doesn't come back

For event, AV and party rental companies with a warehouse. We measure what missing gear, wrong kits and truck check-in cost you a year, then set up counts that take minutes and a check-out record per job. Pay a fixed quote, or a set share of the savings measured in your own records.

Where the money goes

Gear that doesn't come back

Cables, stands, cases, fixtures. Missing after the strike, bought again before the next job, sometimes invoiced to the client and sometimes not.

Wrong kits

A case that leaves without the right contents means a van sent back, a credit, or a crew improvising on site.

Check-in that takes all evening

Scanning every item back in one by one, or not scanning at all and finding out at the next count.

What changes

  1. Tags on cases and gear

Tough tags on cases, trusses and stands; on-metal labels on fixtures; paper labels on consumables. The sample count during the assessment shows what reads on your gear before anything is bought.

  2. Check out by job, in bulk

Hold the handheld over the stack on the dock, pick the job: everything in range is out against it. Same on return. What didn't come back is a list, not a surprise.

  3. Count the warehouse in minutes

Walk the racks and the case rows; the reader picks up every tag in range. Monthly counts become weekly ones because they're cheap.

  4. Feed your rental software

Your rental system stays the system of record. Counts and check-outs export as CSV into it; we're the count and loss layer, not a replacement.

What we'd measure with you

What we'd measure from a rental company's records. Time spent looking is reported, never billed; how the baseline is set.

Good to know

We already scan barcodes in our rental software.

Keep it. Barcodes need each item in view, one at a time; the handheld reads every tag in range through a closed case. We export to what you have by CSV. If your rental software already does RFID and you use it, you probably don't need us.

Do tags survive the road?

Hard tags on cases and trusses are made for it; the sample count includes your roughest items. Some things don't tag well, and the report says so.

Does this stop theft?

No. It tells you what left with which job and what came back, which is usually the question. A reader at a dock door logs passes; it doesn't stop anyone.

Where are you?

Florida, working with warehouses anywhere in the US. The assessment and the setup are by video; the reader for the sample count ships to you with a return label.
